To Scan or Not to Scan - That is the Question
Walk through and be a part of a thorough cost benefit analysis on scanning versus paper storage. Michael Cipriano, President of Millennia Group, a document imaging service provider, will lead an open book analysis of a hypothetical imaging project. He will use industry data and audience input to analyze the project, touching on hardware costs, software costs, storage costs, the elusive efficiency gain and many other inputs. He will build a comprehensive spreadsheet with your help and then walk through all the different variables that can impact your decision to scan. Why should you attend? In this economic climate it is important to be able to provide a comprehensive cost-benefit analysis before beginning any large scale document conversion process. Understanding all the variables can help you decide whether scanning is the best decision for your organization or if your efforts should be concentrated elsewhere.

Michael Cipriano is President and co-founder of Millennia Group, LLC. He has over 12 years of experience in the document imaging and management industry and has been instrumental in Millennia's achievement of having 12 of the Fortune 1000 as customers. Michael is a frequent speaker on document imaging at technology conferences including the Realcomm Technology Show, Documentum Users Conference, and Fusion Applications Conference. He received his Masters in Business Administration with Distinction from DePaul University and Bachelor of Science degree in Accounting from Northern Illinois University and is a CPA. Michael is a member of the Association for Image and Information Management.

The Unique Challenges of Managing White House Records
Philip Droege has served in the Office of Records Management for four presidential administrations over the past 19 years. He is responsible for consulting on all White House records issues and manages the transition of records from the White House to the National Archives at the end of an Administration. His presentation will cover the Presidential Records Act, Presidential Transitions, and the relationship with the National Archives. Why should you attend? Enterprise Information Map
Records Management, Legal, and IT personnel constantly struggle with identifying the systems in which their highest risk data resides. Combining a comprehensive information mapping process with a risk-based scoring framework to identify and prioritize high priority systems, a company can identify where high-risk data resides and how well it is managed. The resulting Enterprise Information Map supports many critical information management functions including eDiscovery support, systems modernization efforts, and enterprise architecture management. Her experience spans the full lifecycle of records management program implementations including assessment, strategy, policy development, technology implementations, training and operations.
Maura has over twenty years of records and information management experience as a consultant in both the private and public sectors. Prior to joining Duff & Phelps, Maura led Booz Allen Hamilton’s national practice in records management, serving clients in the defense, civil and intelligence sectors of the federal government. She is active in ARMA international, at both the local and international levels, and is a frequent speaker on records and information management topics. She holds a Masters in Library Science degree from the University of Maryland.

Digital Signatures
Our topic this year is Digital Signatures. You will hear from Mark Johnson, Senior Solutions Engineer with Adobe Systems, who will provide you with a clear understanding of what constitutes a digital signature including the following examples:
Click to Sign (Self Sign) - An acknowledgement and agreement of signing from the signer with a click of the mouse.
E-Signatures - A handwritten signature is input via a touch-sensitive screen such as a dedicated signature tablet or tablet PC.
Digital Signatures - User initiates signing process and authentication to credentials stored locally or on a server in the case of roaming credentials.
LiveCycle Digital Signatures ES - Server-side automation of the signing, certification, and validation of digital signatures in PDF documents.
Mark will also touch on Rights Management - Information-centric solutions that proactively protect and control sensitive information at the source based on business policy, regardless of where the information resides or flows inside or outside the enterprise.

Records and Information Management from a Lawyer Liability Perspective
This program will address current risk management and lawyer liability issues in law firm records management, covering topics such as e-mail management, litigation hold problems, file transfers in and out of the firm, retention issues, and security concerns. In doing so, it will focus on how firms balance the needs of their lawyers with their ethical duties owed to clients. The discussion will highlight relevant case law, ethics opinions, and rules of professional conduct. Included will be descriptions of how some firms are handling certain of the more troubling and complex problems.

Implementing a Retention Schedule in a Law Firm
Law Firms are realizing the risk avoidance and operational benefits of having a retention policy that governs the management of client matter information throughout its lifecycle. During this session, we will address the prerequisite policies and procedures that must be present before a law firm can successfully implement a retention policy. We will identify steps to take to manage and control repositories of information to stay in compliance with your retention policy. We will also discuss the relevant legal statues and professional guidelines that lawyers must be aware of in protecting client confidential information. In addition, this session will identify the prerequisite changes in work habits that must happen to support retention policy.

Implementing Document Holds in Law Firms: What to do When the Firm is a Party or Potential Party to a Lawsuit
Just like other businesses, law firms can become parties to potential or pending lawsuits, claims, or investigations. Therefore, the ability to identify, collect, and preserve relevant records for a lawsuit, claim, or investigation (pending or potential) is critical in today\\\'s law firms. Having a comprehensive records management program in place that organizes and maintains information, provides needed access to it, and properly disposes of it pays off in cost savings, efficiency, regulatory compliance and reduced litigation risk and is key to complying with the rules of discovery.
A critical component to successfully implementing a document hold is knowing where all of your information resides. This session will provide some tips and strategies for developing and implementing a document hold solution in your firm. Participants who attend this session should be able to:
1. Develop a plan to identify where your information resides, including electronic information
2. Identify scenarios that will trigger a hold and lift a hold
3. Develop a procedure to collect and preserve records within the framework of your organization

Attorney Mobility - How do we Catch them Coming and Going?
Attorney mobility has become as common as a Chicago Cubs win. It is important that law firms have documented policies, procedures, and a communication plan in place for the eventuality that attorneys will be joining or leaving the firm. Conflicts and Records Managers are often under pressure to absorb or transfer matters in a short period of time, potentially leading to mistakes that could be costly to the firm down the road. During this session, Todd will discuss his firm\\\'s processes and best practices for onboarding (a/k/a indoctrinating) new attorneys and their files as well as their process for handling their departures and processing of matters approved for transfer.

Effective Files Management
This is a practical \\\"how-to / hands-on\\\" session designed to teach the fundamentals of paper document filing system analysis and development. We will review some basic facts about files, types of filing systems, how to choose a system, and the actual selection process. For the implementation phase, we will address the hardware (equipment), the software (supplies), as well as the conversion process and evaluation. We will also discuss filing procedures, folder management, and data entry guidelines. By controlling paper records with state-of-the-art filing systems, attendees will learn how they can move forward to the successful implementation of automated filing systems.

Creating a Record Retention Policy
Records retention schedules are the foundation of a sound Records and Information Management Program. Recent developments such as the passing of the Sarbanes-Oxley Act have made it clear that Congress is intent to tighten up preservation requirements. At the same time, the proliferation of PC\\\'s and the highly diversified and uncontrolled nature of e-mail has become a nightmare for many companies. Electronic records retention schedules must follow the same precepts and conditions as all other records.
This presentation will focus on the importance of establishing a retention schedule for both electronic and hardcopy media and the additional value added to insist on a regular audit of the records and information program. It will also discuss the proper methods for destruction of obsolete material for both electronic and hard copy media and ways to safeguard vital documents.
During this presentation, the audience should be able to:
- Understand the value of a sound Records and Information Management Program and how to make effective use of interdisciplinary teams drawn from IT, Records, Legal, and Tax.
- Create a records retention schedule from inception through approval including taking a records inventory and retention research.
- Foster a culture of compliance within your organization and establish information management as a corporate core value.
- Implement proper information destruction methods and address the difficult task of ensuring that both electronic and hardcopy media are destroyed in a timely fashion and adhere to the current retention policy.
- Understand the value of regular audits to your records management program.
Session 4 Description
The Art of Managing Records
Having learned about the records program cornerstones of a file plan and a retention schedule, this session focuses on one method to institutionalize them, and other program components, as they are developed.
While principles do apply to records in all media, there are some special considerations surrounding electronic media, especially removable electronic media, that will be discussed.
The influence of electronic mail on records management has been quite significant. Many organizations wonder what to do about e-mail. Records managers are, or should be, central to establishing tools and rules to manage e-mail. A discussion of e-mail management will include some thought-provoking ideas.
Since the entire discipline is more than can be covered in a few presentations, resources for further learning will be identified.
Presenter: Christopher C. Gaines, CRM, CRM Consultant - Integro
Christopher C. Gaines, is the Certified Records Management Consultant for Integro, an Enterprise Content Management firm in Colorado. He has 33 years of records and information management experience. After serving in the US Navy's submarine service, he spent a 21-year career in the nuclear power industry before focusing on records management consulting in 1997. He is one of about 900 Certified Records Managers. He is a member of various professional organizations in which he has held numerous leadership roles. His work at Integro includes conducting records management program assessments, writing policy and procedure manuals related to records management, and creating records retention schedules.

Bruce Miller is President of RIMtech, a vendor-neutral e-records consulting services firm. Mr. Miller is widely regarded as the inventor of modern electronic recordkeeping software. He co-founded Provenance Systems in 1989, where he pioneered ForeMost, the world's first commercial electronic recordkeeping software, now owned by EMC/Documentum Corp. In 1997, he achieved the world's first e-Records software certification against the US DoD 5015.2 standard, and has since presided over several successful 5015.2 certifications. He founded Tarian Software in 1999, where he developed the world's first e-Records software engine for business software. That year he received ARMA Canada's National Capital Region's Ted Ferrier Award of Excellence for his contribution to the field of records management. Tarian was the first e-Records technology in the world to be certified against the revised 5015.2 June 2002 standard. In November 2002, Tarian was acquired by IBM, where Mr. Miller served for three years as IBM's e-Records Strategy and Business Development Executive. Mr. Miller is the recipient of the prestigious 2003 Emmett Leahy Award, considered the highest international recognition given to professionals in the field of information and records management. He is currently authoring a book entitled "Implementing Electronic Recordkeeping Software - a Methodology for Success," scheduled for publication in 2009. Bruce holds a Diploma in Electronics Engineering Technology, and a Masters in Business Administration from Queen's University.
Presenter: Karen K. Phillips, Loss Prevention Counsel - Attorneys' Liability Assurance Society, Inc.
Karen Phillips received an undergraduate degree in economics from Northwestern University in 1973. She graduated in 1976 from the Georgetown University Law Center, where she served as an editor of the Law & Policy in International Business law journal. Karen spent numerous years as an associate and then partner with a major Chicago law firm, specializing in commercial litigation. Her experience includes jury and non-jury trial and appellate work in state and federal courts in Illinois and elsewhere.
Since 1996, Karen has been a Loss Prevention Counsel with Attorneys' Liability Assurance Society, Inc., a Risk Retention Group. ALAS is a mutual insurance company providing lawyers' professional liability insurance to approximately 250 large law firms located throughout the United States. Karen's duties include writing, speaking, and counseling on topics related to professional responsibility and lawyer liability.

Nancy Beauchemin founded InOutsource in 2002 in response to a recognized need for objective records management consulting and project management support in law firms. Nancy along with her colleagues have build a business in helping their legal industry clients address the complex issues associated with managing client information throughout its matter lifecycle. Frequently, she is called upon to speak to legal professionals and write for industry publications. Nancy is a Certified Records Manager and a member of ARMA. She holds a BS degree from Northeastern University.
Presenter: Dana C. Moore, National Records Manager - Foley & Lardner LLP
Dana Moore is the National Records Manager for Foley & Lardner LLP. She is responsible for the firm's national records management systems and related policy and procedure development, documentation, implementation, software training, and vendor negotiations. She has particular expertise in records management systems conversions.
Ms. Moore implemented a new firm-wide records management program, which consisted of deploying LegalKEY's Records Management software in 18 offices, converting existing data, developing operational processes for the firm's Records Management Departments, and putting into practice standard filing and classification guidelines including introducing new physical folders and labeling formats. Since joining the firm in 2004, she has developed a national records management team, including oversight of 74 staff members, developed an administrative records retention program, electronic records management procedures, and implemented a records compliance policy that includes document hold procedures.
Previously, Ms. Moore served as Director of Records & Risk Management at Powell, Goldstein, Frazer & Murphy LLP and as Records Supervisor at Troutman Sanders LLP, both in Atlanta. She is a member of ARMA.

Todd Knowles has been in the Records Management field for over ten years. He has been the Records Manager for over five years with Shook, Hardy & Bacon, LLP. During his tenure, Todd's team has implemented electronic file management, renegotiated the firm-wide national offsite storage contract and pricing, collaborated with IT to formalize attorney and employee departure procedures, and participated in the drafting of the firm's new retention policy, procedures, and schedule. Todd is a law school graduate and was a member of Law Review during his second and third years of law school. Todd has presented at several ARMA events.
Presenter: Dianne J. Pollitt, CRM, Owner - Records Management Systems
As the owner of Records Management Systems, Ms. Pollitt brings over 30 years of experience in the field of records management to her projects. A filing and storage systems specialist, she was a records manager for a large Chicago financial institution, a records specialist for a local municipality, as well as a sales/records management consultant. She is a Certified Records Manager and past president of the Chicago ARMA (Association of Records Managers and Administrators) chapter. Ms. Pollitt has spoken extensively to local and national groups on various records management subjects. She has presented seminars on records management to ARMA chapters, local colleges, and client organizations.
Ms. Pollitt received her degree in the sciences from St Mary-of-the-Woods College, and began her career as a research oncologist (cancer research scientist).

Larry Bates has been in the Records and Information Management industry for the past 30 years. He was Corporate Records Manager at a large Midwestern financial institution and, since the mid 1980\\\'s, has been a consultant in Records and Information Management. He is currently the President of Larry Bates & Associates, a records management consulting firm. He has given numerous speeches in various parts of the country and to both ARMA and AIIM (Association of Information and Image Management). He has spoken at both of their national conferences.
Larry is past president of the Chicago Chapter of ARMA and has served on its Executive Board for the past 15 years. He is currently serving as an Advisor of the ARMA Chicago Chapter.

Enterprise Taxonomy - A Critical Framework for Driving Your Organization Excellence
Taxonomy and metadata provide an indispensible framework for managing enterprise data, document, records and knowledge. The explosion of electronic systems and content in the past decade has made the organization of knowledge both more critical and increasingly difficult. While these topics often seem mundane and theoretical, this presentation will explain the reality of creating a collaboration and content framework using Microsoft Office SharePoint Services (MOSS2007). Through an understanding how this framework needs to be developed within SharePoint, you will be better able to define and adapt a framework to other systems of importance to your organization.
A successful enterprise taxonomy incorporates many elements: classification schemes for records retention; organization of web content to be easily navigated; index fields and drop-down choice lists for capturing and importing documents; metadata and business rules which enable workflow; and metrics to assess effectiveness and efficiency in the organization. Yet it is far more than any one of these.
Wikipedia defines "Corporate taxonomy" as "the hierarchical classification of entities of interest of an enterprise, organization or administration, used to classify documents, digital assets and other information…A corporate taxonomy is usually the fruit of a large harmonization effort involving most departments of the organization. It is often developed, deployed and fine tuned over the years, while setting up knowledge management systems, in order to assure the survival and good use of valuable corporate know-how."
This presentation adapts the writings of two highly respected authors to real life Enterprise Content Management Systems architecture. The authors are: Darin Stewart (Building Enterprise Taxonomies-2008) and Patrick Lambe (Organizing Knowledge: Taxonomies, Knowledge and Organizational Effectiveness - 2007).

The Evolving Role and Competencies of Records and Information Managers
The role of the records manager is changing and evolving continually. The records manager is now often seen as a full partner with Information Systems professionals, attorneys, and privacy managers. What skills should the records manager develop? What should the records manager concentrate on bringing to the table?
This session will seek to define the role portrait and competencies of the corporate records manager as we enter the 21st century. The "new" records manager has a more strategic focus, as well as a greater focus on technology. This session will use the competencies published by ARMA International as a point of departure and discuss some of the current thinking about the role in the industry.

Pat joined Motorola in 2007. Chef Massimo Bosco has over 22 years of experience in the foodservice industry. He received his A.A.S. degree in Culinary Arts at Kendall College in Evanston, Illinois (1990) and went on to earn his BA in Hospitality Management (1991). There he won the Outstanding Student Award and the Escoffier Award for Culinary Excellence while working as a Teaching Assistant. He has also earned a Master of Arts Degree in Human Resources Development and Management from Webster University (2002).
Chef Bosco\\\\\\\\\\\\\\\'s experience in professional kitchens ranges from restaurants and hotels to private clubs and executive dining rooms. He currently is a Chef Instructor and Associate Professor at Kendall College in Chicago where he teaches various classes with a focus on Bachelor Degree courses in Global Cuisine, Special and Restricted Diets and Banquet Production. Prior to his move to Kendall College in 2005, he started his teaching career at the Illinois Institute of Art - Chicago where he was the first Chef Instructor hired to help start the culinary program in Feb 2000. He was responsible for creating, implementing and teaching a variety of classes there both in the AAS and BAS degree programs and focused much of his last four years on running the restaurant kitchen.
Prior to becoming a Chef Instructor, Chef Bosco has been an Executive Chef for Aramark Corporation, Executive Chef of the Stonebridge Country Club, Executive Sous Chef of the Westin Hotel O\\\\\\\\\\\\\\\'Hare and both Chef Garde-Manger and Restaurant Chef at the Fairmont Hotel Chicago. He has also held the position of Chef Tournant at both the five star Four Seasons Hotel Chicago and the former Hotel Nikko Chicago and was a Sous Chef at the Stouffer Hamilton Hotel.

Preparing for Hurricane e-Discovery: The Perfect Storm
The convergence of electronic discovery, e-mail, and regulatory scrutiny can be a nightmare. Even the well-established principle of discovery can be burdensome for an organization, but it need not be. Steps can be taken to mitigate the impact. In this 90-minute presentation, attendees will learn about electronic discovery from a professional records manager's perspective. The focus of this educational session is to describe techniques and practices that an organization can adopt to prepare for electronic discovery in an orderly fashion. The discussion will extend to implications for Freedom of Information Act requests, electronic mail, and long-term storage of electronic documents.

Program: We Need Help! Our Desktop Files on Shared Drives, Personal Drives and Hard Drives are Out of Control!
Even though document management, content management and collaboration software have been around for years, most companies still haven't deployed this type of technology throughout their entire organizations. As a result, the vast majority of the records created with desktop software such as Microsoft Word, Excel, PowerPoint, Adobe Acrobat, etc. are still located on individuals' hard drives, personal network drives or departmental shared drives. This session will outline steps that companies can take to improve how these types of records are managed from their creation through final disposition. Plan to attend this session if you'd like to learn how to assess your company's current desktop recordkeeping practices and develop an interim approach for managing desktop files that can be used until your company implements a formal document/records/content management solution. Typically this interim approach will include using a file plan or structured folder directories, standardized naming conventions, file integrity considerations, methods for handling legacy files, managing multiple versions of a record, selecting the appropriate file format, access controls, and using common Windows tools to help view, group or rename files to improve file management.

As a Senior Consultant with Cohasset Associates, Inc., she has developed comprehensive records management programs for clients in a wide variety of industries. A frequent speaker on records management topics, her most recent presentations have focused on electronic recordkeeping issues and strategies such as functional retention schedules that enable companies to update their records management programs to accommodate electronic recordkeeping requirements. In addition to her consulting engagements, Ms. Burns was a records analyst in the corporate records management department of a Fortune 500 company at the beginning of her career. Since 1992, she has been Co-chair of the National Managing Electronic Records Conference (MER) and was a senior editor of The Sedona Guidelines: Best Practice Guidelines & Commentary for Managing Information & Records in the Electronic Age.

The ESI Data Map - What is it, Why do I Need One & How Do I Use It?
The federal and state rules providing for the discovery of electronically stored information (ESI) have forced organizations to stop and think about the big picture of how information, both paper and ESI, is created, stored, maintained and purged in organizations. Creating a data map - an inventory of sources, age and useful life of ESI in an organization - is the first step in understanding what you have, and what decisions need to be made to put the pieces together for the big picture of Records and Information Management. We will discuss what a data map is, including the types of information included in one, what it takes to build one, why it\\\\\\\'s useful in managing ESI and how it can be used to effectively reduce costs in producing ESI.
