WORKSHOP: Records inventory...........It's not as Easy as it Used to Be

The presentation will discuss the necessity to not only inventory hardcopy records but also spend significant time interviewing key personnel to discover what "records" are being maintained on lap tops or in document management systems. The discussion will also include the need to inventory individual e-mail accounts to identify records that are maintained in those accounts and that maintaining information in email accounts is not advisable.

 Connie Schumacher is employed as Associate Clerk for Records Management at the Office of the Clerk of the Circuit Court of Cook County .  Among her many responsibilities, Connie conducted the initial records inventory for hard copy, electronic, and virtual records and finalized the internal approvals of the all records inventories for all departments and divisions within the Clerk's Office.

 Larry Bates has been in the Records and Information Management industry for the past 25 years. He was Corporate Records Manager at a large Midwestern financial institution and, since the mid 1980's, has been a consultant in Records and Information Management. He is currently the President of Larry Bates & Associates, a records management consulting firm.

PROGRAM: Outsourcing and its Impact Upon Records Management

Businesses are choosing to outsource many functions, retaining "core" services and activities that add value to the business. While most records managers are aware of outsourcing records management functions, this presentation will focus on outsourcing of other functions within an organization (such as accounts payable, real estate and facilities, mailrooms, and so forth). When a company chooses to outsource a function, there are implications to records management in terms of the responsibility for maintaining records, retention and disposal of records, and return of records at the end of the outsourcing agreement. The records manager should be involved in outsourcing projects and should be an interested party throughout the outsourcing contract period. This presentation will outline issues that a records manager needs to raise and ensure are dealt with by the outsourcer.

PATRICK J. CUNNINGHAM, CRM is Records Management Strategist with Hewitt Associates in Lincolnshire , IL .  He is responsible for Hewitt 's strategic information management, global records and imaging management strategy, and records management technology. Hewitt Associates is a global human resources outsourcing and consulting firm. Pat serves ARMA International as Treasurer, and previously served as a member of the Board of Directors, and as a member of various committees. He was also a member of the Board of Trustees of the ARMA International Educational Foundation.

The subject of September's CRM tutorial is Management Principles and the Records Management Program (Part 1 of the CRM Exam). Our presenter is Joseph Suster, CRM, and Director of Records Management for the National Archives and Records Administration and Glenn Gerken, CRM of Ungaretti & Harris. Cost of this CRM workshop is $10.00.
