ARMA Chicago Spring Seminar Program:

Issue 1
:
The Business Value and Current Status of Records Management Programs
Records management provides indispensable support for mission-critical business operations, but top management may not understand its important contribution to organizational effectiveness. The business case for systematic control of recorded information must be based on a clear demonstration of the value of records management concepts and methods.
This session will examine records management's contribution to organizational efficiency with special reference to the economic theory of value. The session will also summarize major findings from a benchmarking study published by ARMA International in 2002. Information for the study was obtained through in-depth interviews with records management professionals in top U.S. industrial companies. Topics covered by the study include the scope of records authority, organizational placement and staffing levels for records management programs, the status of record retention initiatives, the role of records management in global business operations, offsite storage arrangements for inactive records, and records management involvement with micrographics, electronic imaging, document management, and other technologies.

Issue 2
:
Record Retention Laws and Legal Cases
An organizations's records retention policies and practices must comply with applicable laws and regulations. Identifying such laws and regulations is an important aspect of records management work. This session will explain important record retention laws and legal cases that all records managers should know about. The laws, and their associated regulations, present retention requirements for commonly encountered types of records, such as tax records and human resources records. The legal cases provide guidance for record retention and destruction policies and practices and help define the characteristics of legally-acceptable record retention programs.

Issue 3
:
Retention of Electronic Records and Document Images
This two-part session will explain and discuss factors and concerns that affect the retention of electronic records, including computer records, audio recordings, and video recordings. It will consider legal, operational, and scholarly factors that must be considered when determining how long electronic records are to be kept.
Special attention will be given to the legal status of electronic records as evidence and to data migration requirements associated with long-term retention of electronic records for operational or scholarly reasons. Retention of e-mail and web pages will also be covered.
The second part of the session will examine legal and operational issues relating to the retention of document images, including electronic images and microfilm images. It will also survey the relative advantages and disadvantages of electronic imaging and microfilm technology for document storage and retrieval.
